WellnessCoach Platform ("we", "us", "our", "the Platform") provides a business-management app used by wellness coaches, gyms, and nutrition clubs ("Wellness Centers" or "WCs") to manage their clients, prospects, staff, memberships, payments, and health-tracking programs. This Privacy Policy explains what information we collect through our mobile/web app and website, how it is used, and the choices you have — including how to request deletion of your account and data.
Each Wellness Center operates as an independent business on the Platform. When you sign up as a customer/client of a Wellness Center, that Wellness Center (and its coaches/admins) act as the primary point of contact for your fitness/wellness journey, while we (the Platform operator) act as the technology provider and data processor on their behalf.

1. Information We Collect
Depending on your role (customer, coach, or admin) and which features your Wellness Center uses, we collect:

2. How We Use Information
- To operate core features: attendance tracking, membership & billing, diet planning, health checkups, challenges, and coach-client communication (followups).
- To let your coach/wellness center manage your account, track your progress, and follow up with you.
- To process payments and maintain accurate financial ledgers for the Wellness Center.
- To send in-app notifications relevant to your account (e.g. plan renewal reminders, challenge updates).
- To maintain the security and integrity of the Platform, and to comply with legal obligations.
We do not sell your personal data, and we do not use your health or fitness data for third-party advertising.
3. Photos & Media
The app requests camera and/or photo library access only when you choose to use a feature that needs it — for example, logging a meal photo, submitting a challenge photo task, updating your profile picture, or scanning a QR code for attendance check-in. Photos you upload are visible to your assigned coach and the admins of your Wellness Center as part of the relevant feature (e.g. a meal log or challenge submission), and are stored securely as described below.
4. Who We Share Data With
- Within your Wellness Center: your assigned coach and the admins/super-admins of your Wellness Center can see the data relevant to managing your membership, health tracking, and payments.
- Service providers: we use infrastructure providers (see below) strictly to host and operate the app — they do not use your data for their own purposes.
- Legal requirements: we may disclose information if required by law, regulation, or valid legal process.
We do not share your data with unrelated third parties for marketing purposes.
5. Third-Party Services

6. Data Retention
We retain your data for as long as your account is active with a Wellness Center, and for a reasonable period afterward to allow the Wellness Center to maintain accurate financial and membership records (e.g. for accounting, dispute resolution, or legal compliance). When you request account deletion (see below), your account is deactivated immediately; underlying records are then permanently deleted or anonymized within a bounded period, except where retention is required by law (e.g. financial records).
7. Account & Data Deletion
You can request deletion of your account at any time:
- From within the app: go to the menu (⋮) on your home screen → Account Settings → Request Account Deletion, and confirm.
- Without the app installed: visit your Wellness Center's account-deletion page (your coach can provide the link, in the form
https://wcp.ydserv.in/api/v1/delete-account/<wellness-center-id>) and submit the form with your registered email or phone number.
8. Security
We use industry-standard measures — encrypted connections (HTTPS), access-controlled backend systems, and role-based permissions — to protect your data. No method of transmission or storage is 100% secure, but we work to protect your information appropriately.
9. Your Rights
Depending on your location, you may have rights to access, correct, export, or delete your personal data. To exercise these rights, use the in-app deletion flow above, contact your coach/Wellness Center directly, or reach out to us using the contact details below.
10. Children's Privacy
The Platform is intended for use by adults engaging with a wellness coach or fitness program. It is not directed at children under 13, and we do not knowingly collect personal data from children under 13.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
